Sau khi hợp đồng được ký kết, phòng chủ trì giao phía đối tác 04 bộ, công ty giữ 06 bộ (trong đó gửi hai bộ gốc cho phòng tài chính kế toán, gửi cho phòng tham gia 01 bộ bản gốc và phòng chủ trì lưu hai bản gốc). Số lượng bản gốc có thể thay đổi tùy theo tính chất của từng hợp đồng.
Các hợp đồng phải được theo dõi thực hiện nghiêm túc kể từ ngày được ký cho đến khi thanh lý hợp đồng theo các điều khoản đã ký trên tinh thần hợp tác tôn trọng lợi ích của các bên. Phòng chủ trì và các phòng tham gia có trách nhiệm theo dõi việc thực hiện hợp đồng.
Trong quá trình thực hiện hợp đồng, các phòng ban có liên quan phải báo cáo Ban Tổng Giám đốc khi thấy bất cứ điều khoản nào bị vi phạm, tiếp đó lập thông báo bằng văn bản trình Ban Tổng Giám đốc ký và gửi cho phía đối tác, đồng thời đề xuất các biện pháp khắc phục.
Phòng chủ trì theo dõi tình hình thực hiện hợp đồng chung liên quan đến tất cả các điều khoản của hợp đồng. Phòng tham gia có trách nhiệm theo dõi thực hiện hợp đồng tại những điều khoản liên quan đến chức năng quyền hạn của phòng mình được quy định và tùy theo công việc thực hiện mà tuân thủ theo quy trình đã ban hành của công ty hoặc theo quy định hiện hành. Đối với các hoạt động liên quan đến quản lý dự án đầu tư thì phòng dự án có trách nhiệm theo dõi.
Phòng chủ trì phải lập sổ theo dõi tình hình thực hiện hợp đồng (BM/DA-04-18). Lưu ý, sổ theo dõi có thể được thể hiện dưới dạng bảng tính hoặc phần mềm trên máy tính
